Reporting to the National Facilities Manager, you will be part of a dynamic Facilities and Maintenance department, contributing to the success of our organization's commitment to high-quality educational care and practices.
The role
- Support and coordinate scheduled reactive maintenance tailored to each service's needs.
- Liaise with contractors regarding schedules, invoices, attendance, and performance monitoring.
- Manage and coordinate the contractor database to ensure accuracy.
- Oversee the ticket system, providing phone support during office hours.
- Communicate regularly with services and PQLs regarding updates, enquiries, and appointments.
- Escalate specific enquiries to relevant stakeholders when necessary.
- Manage the shared Maintenance Inbox for assigned services, ensuring timely responses and accurate filing.
- Support the compliance document database for assigned services, including essential annual documentation for Landlords.
- Coordinate and Liaise with landlords on service issues, visits, and approvals.
- Identify and authorize new equipment when repair or ongoing maintenance costs outweigh replacements.
- Contribute to discussions on service incidents, helping to identify common issues and brainstorm resolutions.
- Contribute to the ongoing development of training, systems, and procedures within the department.
- Review and approve invoices up to an agreed threshold.
- Attend service visits as required in line with the service maintenance review.
- Understand and recognize service compliance in line with the NQF, law, and regulations.
- Uphold company policies and procedures.
- Support the facilities team with ad-hoc duties and tasks to assist , services, and/or the company.
- Office based in Melbourne head office - hybrid model.
- 6 month contract.
- Demonstrated facilities co-ordination and teamwork skills.
- 2 years + experience within a facilities management team in a similar role within a large property, facilities management, or corporate environment.
- Strong knowledge of facilities management principles, systems, and processes.
- Exceptional organisation, prioritisation, problem-solving, critical thinking, and lateral thinking skills.
- Ability to resolve general issues and problems and be results orientated.
- Be self-motivated, resourceful, detail-oriented, and energetic.
- Excellent verbal and written communication skills with ability to collaborate across the business and to build and maintain relationships with relevant stakeholders.
- High level of proficiency in use of MS office and aptitude for learning new systems.
- Valid WWCC or willing to obtain
